These terms apply to the AI Steward, relyd's assistant at steward.relyd.co. They supplement the Master Subscription Agreement ("Agreement") and form part of the Policies under its section 3. The contracting relyd company is the one named in section 2 of the Agreement. For the AI Steward these terms take precedence over section 5 of the Product-Specific Terms; in all other respects the Agreement and its Policies apply.
1. The AI Steward
1.1 The AI Steward ("Steward") is an assistant that carries out work for the Customer: it answers questions, looks up information in systems the Customer connects and prepares or carries out actions there. Users give it tasks in the chat; tasks can also run on a schedule or follow a skill the Customer has approved.
1.2 Each Customer has its own Steward environment with its own database. Data of one Customer is never used for another.
1.3 The Steward uses an AI model of the provider listed in the subprocessor list. The functions available, the systems that can be connected and the AI model used may change as the Steward develops; relyd will not remove essential functions during a paid term without notice.
2. Access
2.1 Users sign in with their relyd account. The Steward accepts a sign-in only if it was confirmed in two steps (password or Google/Microsoft sign-in plus a code by e-mail or authenticator app) and the Customer holds a valid AI Steward licence.
2.2 The Customer decides who receives access and assigns roles: owners manage the Steward, approvers may approve actions, members give tasks and see their own tasks. The Customer is responsible for the activities of its Users and shall remove access of persons who leave.
3. Licence and fees
3.1 The Customer needs a valid AI Steward licence for the number of agents stated in the Order Form. The licence is valid for the period stated there. Without a valid licence, Users cannot sign in.
3.2 Fees for the AI Steward and the use of the AI model are charged as set out in the Order Form and the Terms of Sale.
3.3 The Customer can limit the costs with budgets per day and per month. Each task also has a limit of steps and costs. When a limit is reached, the Steward stops and says so.
4. Connected systems
4.1 The Customer can connect its own systems, for example an Exact Online company or an MCP server. The Customer confirms that it is entitled to give the Steward access to these systems and to the data in them.
4.2 Connected systems are provided by third parties under their own terms. They are engaged by the Customer and are not relyd subprocessors (section 5.6 of the DPA). relyd is not responsible for their availability, their data or their changes.
4.3 Access data for connected systems is stored encrypted and is never shown again. The Customer can remove a connection at any time; the Steward then loses access to that system.
5. Approvals and controls
5.1 The Steward reads data in connected systems without approval. Actions that change data in a connected system wait for the approval of an owner or approver, unless the Customer has allowed an approved skill to carry them out on its own.
5.2 Payments and deletions in connected systems are never carried out by the Steward, not even after approval.
5.3 The Customer can set further controls: business hours, amount limits, daily limits per action and blocked actions. A held action waits for approval; a blocked action is not carried out. The Customer can stop the Steward at any time with the emergency stop.
5.4 Every step of the Steward is recorded with time, action, result and, where applicable, who approved it. The Customer can view this record in the Steward.
6. Responsibilities of the Customer
6.1 The Customer is responsible for the tasks, rules and skills it gives the Steward and for every action it approves or allows a skill to carry out. It shall check the proposed action before approving it.
6.2 The Customer shall not use the Steward for purposes excluded by the Acceptable Use Policy. Special categories of personal data may be processed only within the limits of the Sensitive Data Terms.
6.3 The Steward shall not take decisions that produce legal effects concerning a person, or similarly significantly affect a person, without a human deciding. The Customer keeps such decisions with a person.
7. AI results
7.1 Answers, summaries and proposals of the Steward are generated by an AI model. They can be incomplete or wrong. The Customer shall review them before relying on them, in particular before booking, paying, sending or deciding.
7.2 The Steward does not provide legal, tax, accounting or other professional advice.
8. Memory, skills and schedules
8.1 The Steward can propose to remember a fact, to save a recurring procedure as a skill or to run a task on a schedule. A proposal takes effect only after a person with the required role has approved it.
8.2 The Customer can view and change approved memory entries, skills and schedules at any time. It can delete memory entries and schedules itself; skills are removed on request to privacy@relyd.co.
9. Data protection
9.1 relyd processes Customer Data in the Steward as a processor under the DPA and its AI Steward Annex.
9.2 How relyd processes data of Users is described in the AI Steward privacy notice.
10. Availability
The Service Level Agreement applies to the AI Steward only where the Order Form says so. relyd may interrupt the Steward for maintenance and will keep interruptions as short as possible.
11. End of use
When the licence or the subscription ends, Users can no longer sign in to the Steward. The data of the Steward is deleted as set out in section 9 of the DPA.
